Your agents need a system of record.

An inventory tells you what exists. Accountability takes a little more.

The question behind the inventory

An agent name and a platform ID are useful facts. They do not explain who is accountable for the business purpose, who reviewed the agent, or what was decided. A system of record gives those answers a durable home.

Separate observations from decisions

A source refresh is an observation: the platform reported a new name or configuration. Assigning a business owner is a decision. Keeping those distinct prevents an imported vendor field from silently replacing an intentional business choice.

Start with one complete record

Capture the purpose, accountable owner, lifecycle decision, source identities, and review notes for one agent. Record who made a decision and when. Then refresh the source and check that the business record remains intact.
